TOP 5 CONSIDERATIONS WHEN BOOKING YOUR EVENT VENUE

If you want your event to be the cat's pajamas, booking the right venue should be #1 on your to-do list. Where you host your event sets the mood for the entire day, so it's essential the place checks off every "must-have." Here are the top 5 things you need to consider when searching for the perfect joint to host your event.

LOCATION

Do you have a lot of out-of-town guests on your list? Consider finding a venue close to the interstate, easy to find and easy to access for those who aren’t familiar with the area. Maybe you want shopping and dining options within walking distance so everybody has entertainment options during their free time. The bottom line: location is key to a successful and enjoyable event.

SIZE

How many people are you expecting to attend? Once you've determined where you want to host your event, scope out potential venues to see their guest capacities, and pay close attention to their recommendations. Many places list limits for different types of events, including those with served meals, seated conferences, or standing-room-only events. You'll want your guests to be comfortable enough to bump gums without feeling cluttered.

THEME

Most people plan events with specific style, mood, or theme in mind, and the joint you select needs to accommodate your vision. For example, if you’re planning a Hollywood style awards ceremony, you might go with a local theatre with ritzy design elements. Or, if you’re hosting a product launch for your newest bottle of vodka, selecting a joint with the ability to transform into a tasting room would be the berries.

TYPE OF EVENT

For events like a day-long workshop with lunch, different sessions throughout the afternoon, and a cocktail networking hour following, consider the flexibility and the layout of the space. If you want your guests to mix and mingle within a short walking distance, you’ll need to find a hotsy-totsy place that can do it all.

EXTRA SERVICES

Find out what other services your venue needs to provide throughout the event. Are you going for a dry affair or wanting the John Barleycorn to flow at a lavish banquet? Will you need a DJ or band to dance the night away? Venues will often have a list of preferred vendors you can use to skip a lot of the coordination hooey and keep your budget in check. Using someone the venue already has a relationship with—and trusts—will cut a lot of heebie-jeebies and will make for an event that flows as smooth as gin.
